Playbook Logix is operated by Coastal Logix LLC, a South Carolina limited liability company ("Company," "we," "us," or "our"). We take your privacy seriously. This policy describes how we collect, use, and protect your personal information when you use our sports management and registration platform, and it is intended for individuals located in the United States.

1. Information We Collect

We collect information that you provide directly to us, including:

• Account Information: Name, email address, and phone number.
• Family & Player Profiles: Player names, dates of birth, and physical attributes (e.g., height, weight) provided for roster management.
• Financial Information: Payment details are processed securely through our payment partner, Stripe. Card numbers are entered only on Stripe's own hosted payment page and are never transmitted to or stored on Playbook Logix's servers. We also never ask for, and will never store, a Social Security Number in any form on our platform.
• Organizational Data: Team associations, registration forms, and attendance records.

2. How We Use Your Information

We use the collected data to provide and improve our services, specifically for:

• Processing registrations and payments for sports programs.
• Allowing coaches and organization admins to manage rosters and schedules.
• Facilitating communication between team members and administrators.
• Personalizing your experience on the dashboard.

3. Data Sharing & Disclosure

We do not sell your personal information. Your data is only shared in the following contexts:

• With Organizations: When you register for a program, the relevant Organization Admins and Coaches gain access to your player's information for safety and administrative purposes.
• Service Providers: We share data with the vendors that operate the platform, each contractually obligated to protect it and limited to using it only to provide their service to us: Stripe (payment processing), Resend (transactional email), Twilio (SMS messaging), and Cloudflare R2 (file and photo storage).
• Legal Requirements: If required by law or to protect our rights and the safety of our users.
• SMS & Mobile Data: Mobile information and SMS opt-in consent will not be shared with any third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent information will be kept strictly confidential.

4. Cookies & Tracking Technologies

Beyond the session cookie that keeps you logged in, we use a small number of Google services that place their own cookies or process your device information:

• Google Analytics: Helps us understand how the site is used, on an aggregate basis, so we can improve it.
• Google reCAPTCHA: Protects our login, registration, and password reset forms from automated abuse. It may process your IP address and browser information; see Google's Privacy Policy.
• Google AdSense: Our pages include the AdSense script, which will serve ads to free-tier users once enabled. Organizations on a paid subscription tier do not see ads.

5. Children's Information

Playbook Logix is built for parents, guardians, and coaches to manage youth sports on behalf of the children in their care. We do not knowingly collect personal information directly from children under 13 — player profiles, including a child's name and date of birth, are created and maintained exclusively by the parent, guardian, or coach who adds them; children do not create their own accounts or log in directly. If we learn that a child has provided us information directly, without the involvement of a parent, guardian, or coach, we will take steps to delete it.

Coaches may upload team photos to a private team gallery, visible to that team's members. A coach can also generate a shareable public link to a gallery; anyone with that link can view the photos without logging in, so please only share such links with people you trust to have them, such as your team's own families.

6. Data Retention

We retain your information for as long as your account is active, or as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements. If you close your account, we will delete or de-identify your personal information within a reasonable time, except where we are required or permitted by law to retain it — for example, payment and transaction records, which we and our payment processor may retain for tax, accounting, and fraud-prevention purposes.

7. Mobile App Permissions

Our mobile app may request access to your device's photo library or camera so that coaches and parents can upload team photos and documents, and may request permission to send push notifications for team updates and alerts. You can grant or deny these permissions at any time in your device's settings; declining a permission may limit the related feature.

8. Data Security

We implement industry-standard security measures, including encryption and secure database protocols, to protect your data from unauthorized access or disclosure.

9. Your Privacy Rights

You have the right to access, update, or request the deletion of your personal information at any time. You can update most of your information directly in your profile settings, and can request deletion by emailing info@playbooklogix.com — see our Account Deletion page for exactly what that involves. To protect your data, we may need to verify your identity before completing certain requests.

California, Virginia, Colorado, and Other State Residents: Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA/CPRA), the Virginia Consumer Data Protection Act (VCDPA), and the Colorado Privacy Act (CPA) — including the right to know what personal information we have collected about you, the right to correct or delete it, and the right to opt out of the "sale" or "sharing" of personal information and of targeted advertising. We do not sell your personal information. We do use Google Analytics and Google reCAPTCHA (see Section 4), which some state laws may treat as "sharing" for cross-context tracking even though we do not use them for advertising. You can exercise any of these rights by emailing info@playbooklogix.com. We will not discriminate against you for exercising any of these rights.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last Updated" date above. Your continued use of the platform after changes are posted constitutes your acceptance of the updated policy.
